Terms of Service - Crew Confirm

Effective October 30, 2026. Last updated November 1, 2026.

In short. You pay for active crew seats; your own studio staff are free and crew never pay. A new studio pays $9 for its first 14 days; then the plan it chose renews every month at its price until you cancel, and cancelling stops the next renewal. Your data is yours; we use it only to run Crew Confirm for you. You are responsible for your crew relationship and for texting lawfully. Crew Confirm records pay; it never moves money. This summary is not part of the terms.

1. Who we are. "Crew Confirm", "we" and "us" mean Uriel Arnson LLC, a New Jersey limited liability company, which provides the Crew Confirm crew scheduling and coordination software (the "Service"). "Studio" and "you" mean the business that creates a studio on Crew Confirm. The person who accepts these terms confirms they may bind that business.

2. Who may use the Service. The Service is for businesses that coordinate wedding and event crew. It is not for personal or household use. It is offered to studios in the United States, and texting supports U.S. mobile numbers only. Everyone who uses the Service must be at least 18 years old; do not add anyone younger as crew or staff. If you are a sole proprietor, these terms treat you as a business, but any right the law gives you that cannot be waived stays with you.

3. How these terms are accepted. The studio's Owner accepts these terms and our Privacy Policy for the studio when paying at checkout, by ticking the box on the secure payment page. We keep a record of which version was accepted, by whom and when. A studio that started on the earlier free trial accepts them the same way when it chooses a plan; until then, using the Service means it agrees to them. Your Owner, staff and crew use the Service under the studio's account, and you are responsible for what they do in it.

Accounts and roles. A studio's Owner may add Studio Managers and Studio Editors. Crew have their own accounts, which show only their work with your studio; some crew never sign in and only receive messages. Only the Owner can choose, change or cancel the plan. Keep sign-in details private and tell us at [email protected] if you think an account has been misused.

4. Plans, seats and automatic renewal. Plans are sold by active crew: Starter, up to 5 active crew, $49 a month, Team, up to 15 active crew, $89 a month and Studio, unlimited crew, $149 a month. The plans differ only in how many active crew they allow. The price you pay is the one shown at checkout before you pay. Prices are in US dollars and do not include any sales or similar tax that may apply. A crew member uses a seat while they are active in your studio: booked, holding a date, or asked and not yet answered, for a wedding in the last 12 months or upcoming. That includes crew who never sign in and only receive texts. Everyone else on your crew list, including crew you have invited, uses no seat. Your staff accounts (Owner, Studio Manager, Studio Editor) never use a seat, and crew never pay anything. When every seat is in use you cannot ask, hold or book a crew member who is not already active until you move to a larger plan; crew who are already active keep working. Nobody is ever removed or switched off because of a seat limit or a plan change.

Your plan renews automatically. After the introduction (section 5), your plan's monthly price is charged automatically to the card on file, on the date shown before you pay and then every month, until you cancel. Fees are charged in advance, every month, to the card the Owner gives our payment processor, Stripe, and the plan renews each month until it is cancelled. You can cancel at any time in Settings, Plan & billing, Manage billing; see section 7. We never see or store full card numbers.

Failed payments. If a renewal payment fails, the Service keeps working, texts included, while Stripe retries the card, for up to 21 days from the first failure we see. New crew invites pause in the meantime and the Owner is asked to update the card. If the first monthly charge after the introduction (section 5) fails, the Service keeps working for 3 days instead. If the payment still fails, the studio becomes read-only (section 6) until it is paid, and then everything is restored.

Price changes. We will email the Owner at least 30 days before a price increase takes effect; it applies from your first billing period after that notice ends. If you do not accept it, cancel before then.

5. The introduction. A new studio starts with a paid introduction: $9 (US dollars) for its first 14 days, charged when the Owner starts it at checkout. The Owner chooses the plan at checkout; its monthly price is not charged during those days. When they end, that plan's monthly price is charged automatically, and then every month, until the plan is cancelled. Before paying, the Owner is shown the amount due now, the date of the first monthly charge, the monthly price, and how to cancel, and we email the Owner a reminder about 7 days before the first monthly charge. A studio that signs up on our website pays the introduction at signup, before its studio is set up: its 14 days are counted from that payment, and if setting the studio up takes longer than 2 hours, the first monthly charge moves later so the studio still gets 14 days from the day it is ready. If we cannot set the studio up within 24 hours of that payment, we refund the introduction fee in full, cancel the plan, and tell the studio by email; nothing more is charged. Cancelling during the introduction (in Settings, Plan & billing, Manage billing) stops the first monthly charge; the studio keeps the Service until the introduction ends, and then becomes read-only (section 6). Switching plans during the introduction charges nothing at once and does not restart it; the first monthly charge is for the plan the studio is on when it ends. Each studio gets the introduction once: cancelling, changing the Owner or paying again does not start a new one. Before the introduction is paid, the studio can set itself up (its settings, an import of its crew and weddings, a sample season) but cannot send anything to crew or book them. Texts to crew start only once your studio's own texting number is verified by the carriers, which can take longer than the introduction; the rest of the Service works in the meantime.

Studios on the earlier free trial. A studio that had started on the earlier terms before the introduction replaced them keeps them: a free trial of 14 days, with no card, that starts when the studio's Owner first signs in, not when the studio is approved. During the trial the studio may have up to 15 active crew. Choosing a plan during that trial keeps the free days left: the first charge comes when the trial ends (in the trial's last 49 hours a plan starts, and is charged, at once). That trial is provided as is (section 13).

6. When a plan stops: read-only. If you cancel and your paid period (or your introduction) ends, if a payment is not made (section 4), or, on the earlier terms, if the free trial ends without a plan, your studio becomes read-only. Read-only means: you and your staff can still see everything and use the exports in section 8; your crew can still see and download their own jobs, invoices, statements and pay records; nothing is sent (no requests, texts or WhatsApp messages); nothing can be created or changed; and nothing is deleted. Choosing a plan restores everything at once. A read-only studio stays that way until it chooses a plan or the Owner asks us to close it (section 8). If we ever decide to set a time limit on keeping read-only studios, we will email the Owner at least 30 days before any data is deleted.

7. Cancelling and refunds. The Owner can cancel at any time from Plan & billing (Manage billing), which opens Stripe's secure billing page. Cancelling stops the next renewal: the plan runs to the end of the period already paid, then the studio becomes read-only (section 6). Fees are not refunded, the introduction fee included, for part of a period, for unused seats, or for a move to a smaller plan, except where the law requires it or these terms say so (sections 5 and 16).

8. Your data, exporting it and closing your account. Everything you, your staff and your crew put into the Service for your studio is your "Studio Data", and you own it. You give us permission to host, copy, process and show it only to provide, secure and support the Service for you. We do not sell personal information, use it for advertising, share it with anyone for their marketing, or use it to train AI models, and we never show one studio's data to another studio. The Owner and Studio Manager can export the crew list and the invoice list as CSV files, and crew statements as PDF, at any time, including while the studio is read-only. There is no one-button export of everything yet: write to [email protected] and we will help you get a copy of the rest. Cancelling does not delete anything. To close your account and have your Studio Data deleted, the Owner writes to us at that address; we delete it within a reasonable period, except records the law or a dispute requires us to keep (such as billing records and proof of text consent and opt-outs).

9. Crew personal data. For the personal information in your Studio Data (about your crew, staff, couples, families, guests and venue contacts), your studio decides how it is used and is its controller (the "business"), and Crew Confirm handles it for you as your processor ("service provider"), only on your instructions: these terms and your use of the Service. You are responsible for having the right to put that information in, for any consent it needs, and for giving any notice the law requires; you may point people to our Privacy Policy. Do not put in Social Security or other government ID numbers, full bank or card numbers, or health information. Crew payment details belong only in the payment-details field, which is stored encrypted. The service providers we use (sub-processors) are listed in the Privacy Policy, section 8, which we update when that list changes.

10. Your crew, messages, live location and files. You decide whom you hire, how you classify and pay them, and on what terms. Crew Confirm records pay; it never moves money: it is not payroll, does not pay crew, does not hold funds and does not file tax forms. It is a coordination tool, not a staffing agency. If anything in the Service conflicts with a signed agreement between you and a crew member, that agreement governs.

Texts and WhatsApp. Texts to your crew go out under your studio's own verified texting registration, which we file for you as your software provider; you confirm the business details you give us for it are true. Crew opt in to texts themselves, in the app, and in no other way, and you will not text anyone who is not your crew. Texts are for crew operations only, never marketing. STOP, HELP and quiet hours are enforced by the Service: a crew member who replies STOP stops receiving your texts until they opt in again. Where WhatsApp is switched on for a studio, the same rules apply to WhatsApp messages. You are responsible for following the laws on messaging your crew. Carriers and messaging networks are not part of the Service and may delay or block messages. We may pause your texting at once if a carrier or provider flags it or the law requires it, and we will tell the Owner why.

Live location. Crew may choose to share their location on a wedding day. It is off unless the crew member turns it on, and a studio cannot turn it on for them. It works only while the app is open on their phone, only for a wedding they are confirmed on, from 2 hours before their start time until 2 hours after it, or 1 hour after their scheduled end time if that is sooner. Their position is deleted when that window closes; their arrival time and status stay in the wedding's record. You will not use it for anything but coordinating that wedding, and you are responsible for any notice the law requires where you and your crew work.

Files. Crew Confirm does not store wedding photos or videos. File delivery goes through Filemail or another service you choose, a separate company you use under its own terms; Crew Confirm only links to it or shows its page, and records the details crew enter (such as a file count and size). We do not check that files arrived, and we are not responsible for that service or the files sent through it.

11. Acceptable use. You and your users will not use the Service for anything unlawful or to harass anyone; send marketing or unrelated messages through it; try to reach another studio's data or any part of the Service you are not allowed to use; probe or test its security or get around its limits without our written permission; copy, scrape, resell or reverse engineer it except where the law allows; share logins or put several people on one crew account to avoid seat limits; or interfere with the Service or its providers.

12. Our own studio. Uriel Arnson LLC also runs a wedding studio that uses Crew Confirm as a customer, on the same terms. We will never use your Studio Data for that studio's business: not to contact or recruit your crew, learn your rates, prices or clients, or compete for your weddings. Access to your Studio Data by our people, and by the tools they use, is limited to what is needed to give support you ask for, keep the Service secure and working, or comply with law.

13. What we provide, and what we do not promise. We work to keep the Service available but do not promise uninterrupted service, and there is no service-level credit. Texts, WhatsApp messages, app notifications, emails and sign-in codes pass through carriers and other providers and can be delayed, filtered or not delivered. Do not rely on Crew Confirm as your only way to reach your crew on a wedding day, and never for emergencies. Except as these terms say, the Service is provided "as is" and "as available", and to the extent the law allows we disclaim all other warranties, including merchantability, fitness for a particular purpose and non-infringement. Support is by email at [email protected].

14. Limitation of liability. To the extent the law allows, neither side is liable for indirect, incidental, special, consequential or punitive damages, or for lost profits, revenue, bookings, goodwill or data, including losses from a missed or understaffed wedding. Each side's total liability under these terms is limited to the fees you paid us in the 12 months before the event that caused the claim. These limits do not apply to your payment obligations, your indemnity in section 15, your breach of section 11, or either side's fraud or wilful misconduct.

15. Indemnities. You will defend us against third-party claims arising from your Studio Data, messages sent on your instructions (including a claim that a crew member did not consent), your relationship with your crew, or your breach of sections 9 to 11, and pay the damages and reasonable costs that result. We will defend you against claims that the Service, as we provide it, infringes someone's U.S. intellectual property rights. The side asking for this must tell the other promptly, let it run the defense and any settlement, and give reasonable help.

16. Suspension and ending these terms. We may suspend all or part of the Service, with notice where practical, for unpaid fees (section 4), use that breaks sections 10 or 11 or threatens the Service or anyone, a carrier or provider requirement, or the law. You end these terms by cancelling (section 7). We may end them on 30 days' notice for any reason, or at once for a serious breach not fixed within 10 days after notice; if we end them without fault on your side we refund prepaid fees for the unused period. Sections 8, 12 and 14 to 18 continue after these terms end.

17. Intellectual property. We own the Service, its software, design and the Crew Confirm name. You get a limited, non-exclusive, non-transferable right to use it for your studio while your subscription runs. We will not use your studio's name or logo in our marketing without your written permission. If you send us suggestions, we may use them without owing you anything.

18. Law and disputes. These terms are governed by the laws of the State of New Jersey, without regard to its conflict-of-laws rules. Before starting a claim, each side will try in good faith to settle the dispute for 30 days, starting with an email to the other side. Any claim that is not settled goes to the state or federal courts located in New Jersey, and each side accepts their jurisdiction. Either side may ask a court for urgent relief at any time.

19. Changes to these terms. We may update these terms. For a material change we will email the Owner at least 30 days before it takes effect and change the dates at the top of this page; if you do not agree you may cancel before then. If you keep using the Service after that date, the new terms apply.

20. Privacy. How we handle personal information, including the service providers we use, is in our Privacy Policy.

21. General. These terms are the whole agreement between you and us about the Service. If a part cannot be enforced, the rest stays in force. Neither side is responsible for delays caused by events outside its reasonable control. You may not transfer these terms without our written permission; we may transfer them to a successor to the Crew Confirm business. We send notices to the Owner's email address on the account; send yours to [email protected].
